Rock Management Services Ltd is a reputed company based in Oxford. We are looking for talented professional from the field of Administration / Secretarial to join our team as Costing Clerk.

Costing Clerk – Oxford/Reading

We are supporting a large and very busy solicitor’s firm with a head office in Oxford, and a further 20 offices around the UK - mostly in the South. They specialise in representing clients in Criminal and Family law proceedings, with additional services in Prison Law, Mental Health and Criminal appeals.

Responsibilities and duties:

· To undertake the efficient and accurate billing of Criminal Legal Aid Cases with liaison across all sites;

· Knowledge of LAA Contract, Specification and LAA Billing Guidelines and ensuring compliance with these guidelines within the Dept;

· Efficient and accurate Criminal Legal Aid billing in agreed areas with liaison/co-ordination across all sites, maximising claim levels and turnaround times particularly Investigation and Representation stage of work;

· This covers Standard Fees, Non-Standard Fees, Escape Fees and Exceptional Claim Fees including accurate claim for travel and disbursements;

· Each file must be checked for accuracy of times/disbursements claimed as well as check that all internal procedures have been followed;

· Submission of claims using the online LAA billing system, dealing with subsequent queries, rejected claims and assisting with outstanding claims where required;

· Appealing assessments and incorrect decisions as and when required;

· Advising members of the most effective/efficient billing methods;

· Billing of Court Duty slots on a monthly basis

· Sending Fee Files- verifying data is correct and present on file before billing

· Undertaking general procedural reviews in relation to crime lower work cases;

· Dealing efficiently with enquiries from within the firm;

· The provision of cover where required and to act as a point of reference/ training for other members of the team;

· To provide general assistance as needed to the Crime Costing Team;

· Provide ad-hoc cover to the police station department admin as and when required;

· Provide input, feedback and solutions relating to improvement/ developments in service and generally assist other team members, with a view to future development;

· Any other duties as directed by the Team Leader or a member of the Management Team;

Person Specification:

· Excellent communicator in both written and spoken English;

· Must be able to consistently apply a high level of attention to detail;

· Must be IT literate with experience in Microsoft Office packages;

· Must be proactive;

· Excellent time management and organisation skills;

· Good team work ethics

This position is part time and will be equivalent to a 4 day week/28 hours per week. A flexible working arrangement can also be considered with some home working and working from either our Oxford or Reading office several days a week. The successful candidate needs to be able to set up a desk at home and be in a position of not sharing a room with others during working time due to confidentiality.

Salary £18,000 – £20,000 pro rata.
