ABOUT SWHF
The Stichting White Helmets Foundation (SWHF) is an independent, international not-for-profit organisation that aims to provide aid to communities and persons recovering from conflicts and disasters; provide support and orientation to refugees and communities in hosting countries; and support justice and human rights efforts. The SWHF works in partnership with WH offices in Syria, Turkey and Canada. The Visual Documentation Team (VDT) is based in The Netherlands. The VDT project is a justice and accountability project that addresses relevant issues in Syria and aims at assisting transitional justice mechanisms and other research processes.
THE ROLE
We are looking for an Administrative Officer that can support us at our office in The Hague. In this small team, you will have a diverse role where you take up office management, staff, procurement and general administrative tasks. You are self-motivated, proactive, quick-thinking, flexible and able to juggle multiple and varied responsibilities with an unwavering attention to details at all times.

MAIN RESPONSIBILITIES
- Office coordination and management of office facilities.
- Manage schedules, calendars, and appointments
- Organise the filing system for important and confidential documents.
- Purchase and manage office supplies and maintenance services, maintain security protocols and safe logs.
- Maintain SWHF’s inventory of physical assets in the office including staff equipment.
- Manage relationships with vendors, office building owners, and service providers
- Coordinate travel arrangements for the VDT project team and visitors while ensuring a smooth-running and execution of events, meetings and trips.
- Support in HR functions including recruitment, onboarding, training, payroll, staff attendance and timesheets management.
- Coordinate with external HR consultants, including outsourced payroll company
- Support the development and implementation of improvement initiatives and strengthening of systems and processes.
CANDIDATE PROFILE
- Level of study: Bachelor’s degree level by education or experience
- Experience in administrative support tasks and facilitating the smooth running of an office;
- Good knowledge of HR recruitment and payroll procedures, knowledge of Dutch employment law and procedures is desirable;
- Experience of working for a charity or non-profit organisation is desirable;
- Ability to quickly familiarise yourself with new topics, work independently and as a team player
- Good oral and written communication and organisational skills
- Comfortable in programmes such as Word, Excel, Google docs and shared drives
- Good level of Dutch and English is a prerequisite and knowledge of Arabic is an advantage
- Affinity with SWHF’s goals, culture and philosophy
WHAT WE OFFER
- A challenging and exciting position in an international, dynamic and pleasant work environment for 32-40 hours per week
- A fixed term contract for one year with renewal option
- A gross monthly salary between EUR 2,500 – 3,250 including holiday allowance depending on relevant work experience, based on a fulltime appointment (40 hours)
- Other benefits include 25 holiday per annum (based on a fulltime appointment), travel reimbursement and health insurance allowance
